Information you provide

When you submit an inquiry, Fly With Robbie receives the name, email address, phone number, message, and training information you choose to provide. This information is used to respond to your inquiry, discuss flight instruction, and maintain an appropriate business record.

FlyWithRobbie Student Portal and Google sign-in

The FlyWithRobbie Student Portal uses Google sign-in only to authenticate current students and connect them to an existing portal account. The sign-in request is limited to OpenID authentication and basic profile information, including the Google account's stable identifier, name, email address, and whether Google has verified that email. The portal uses the verified email address to look for one exact existing student-account match. It does not create a student record from Google sign-in, infer a match from a name, or give an unmatched Google identity access to student information.

The portal stores the linked Google account identifier, verified email, link date, last-login date, and a protected portal session. It does not receive or store the student's Google password. Google identity data is not sold or used for advertising. Google sign-in alone does not authorize Gmail, Calendar, contacts, or Drive access.

Optional student Google Calendar connection

An active student may separately choose to connect Google Calendar so training appointments assigned to that student in the portal are copied to the student's primary Google Calendar and kept current when the instructor changes or cancels them. This optional connection requests access only to events on calendars the student owns. It does not request Gmail, Contacts, Drive, or broad Google-account access.

The portal stores the connected account email, an encrypted OAuth refresh token, synchronization status, and the Google identifiers needed to update the copied appointment without creating duplicates. Calendar tokens are stored server-side and may be revoked by disconnecting the integration. Only that student's assigned training appointments are sent; internal matching confidence, unrelated instructor events, other students' data, billing details, and completed training records are not added to the student's calendar.

Instructor Google Drive integration

A separate, administrator-authorized Google Drive connection is used to back up training records and host protected Student Resources in the FlyWithRobbie Drive account. It is available only to the instructor/admin workflow. The portal creates, reads, updates, organizes, and archives files needed to operate the training-record system. These Drive-backed files remain private and are delivered to authorized students through the authenticated portal rather than public sharing links.

AI-assisted document intake

When the instructor uses the central document-intake workflow, the uploaded PDF or image is sent to the configured OpenAI API only to extract the minimum identifiers and training-document details needed to suggest an existing student and filing category. For an FAA medical certificate, the date of birth is read transiently only to select the under-40 or age-40-and-older duration rule; the birth date itself is not retained in the intake record. The examination date, age-rule result, any printed not-valid-after date, and calculated third-class privilege expiration may be retained with the document. The portal does not send the student roster with the document, requests that signatures, addresses, payment information, diagnoses, narrative medical details, and full narrative text not be reproduced, and disables response storage. The instructor must confirm or correct every suggested student and category before a permanent student record is created.

Website measurement and advertising

With your permission, this website uses Google Analytics, Google Ads measurement, and Meta measurement tools to understand website use and evaluate advertising. These services may use cookies or similar identifiers. Advertising parameters such as a Google click identifier or campaign tags may be recorded with an inquiry so the source of the lead can be understood.

Your choices

You may decline optional analytics and advertising storage through the cookie notice. Necessary storage used for site security, protected student resources, sign-in, and your consent choice remains available. You can change your measurement choice by clearing this site's stored data in your browser and revisiting the site. A student may continue using a local email/password account instead of Google sign-in and may request that a linked Google identity be removed.

Sharing and retention

Inquiry information is not sold. It may be processed by service providers used to host the website, deliver communications, prevent abuse, and measure advertising. Records are retained only as reasonably needed for responding to inquiries, operating the instruction business, maintaining records, and resolving disputes.
